Eligibility:
Only UK registered charities are eligible to apply for room hire.
Proof of charity registration must be provided at the time of booking.
Booking:
Bookings must be made at least 7 days in advance.
Confirmation of booking will be provided within 3 business days.
Payment:
Payment must be made in full at least 4 days prior to the event.
Accepted payment methods include bank transfer and credit/debit card.
A receipt will be issued upon payment.
Cancellation:
Cancellations must be made at least 3 days before the event to receive a full refund.
Cancellations made less than 3 days before the event will incur a 50% cancellation fee.
No refunds will be issued for cancellations made less than 48 hours before the event.
Usage:
Rooms are to be used solely for the purpose stated in the booking form.
Any changes to the purpose of use must be communicated and approved in advance.
The hirer is responsible for ensuring the room is left in a clean and tidy condition.
Equipment and Facilities:
Basic equipment (e.g., chairs, tables, WiFi) is included in the hire fee.
The interactive smart screen is available for use at no additional cost.
Additional equipment may be available for hire at an extra cost.
The hirer is responsible for any damage to equipment or facilities, including the interactive smart screen.
Interactive Smart Screen:
The interactive smart screen must be used in accordance with the provided instructions.
Any technical issues or damages must be reported immediately.
The hirer is responsible for ensuring the smart screen is used appropriately and is not damaged during the hire period.
Health and Safety:
The hirer must comply with all health and safety regulations.
Emergency exits must be kept clear at all times.
The hirer must provide a list of attendees for fire safety purposes.
Liability:
The hirer is liable for any damage caused to the premises during the hire period.
The venue is not responsible for any loss or damage to personal property.
The hirer must have appropriate insurance coverage for their event.
Conduct:
All attendees must conduct themselves in a respectful and orderly manner.
Any disruptive behaviour may result in immediate termination of the hire agreement.
The hirer is responsible for the behaviour of all attendees.
Termination:
The venue reserves the right to terminate the hire agreement at any time for breach of terms and conditions.
In the event of termination, the hirer will be notified and must vacate the premises immediately.
